How to Book, Invoicing, Payment
& Receiving your VIP Documents and Event Tickets

The information below is to help and guide you through our booking, invoicing and the various payment options when placing any bookings with us, whether online or over the phone. There is also a section on when and how we send you your documents and event tickets, once you have paid! 

A. Booking Online Process…

- Follow the 4 simple steps

- Receive confirmation email of your booking

Euro Events have now launched our online booking system. This new way of booking with Euro Events enables customers to confirm and pay for their booking with ease and convenience from wherever you may be.

To begin your online booking simply visit one of our selected events available to book online and choosing the option you wish to book. 

Once you have added your preferred option to your cart please click on bag icon in the top right of the page to be taken to the checkout to confirm your order. Next double check your order details in your shopping cart before clicking ‘Checkout’.

Once at the online checkout please enter your email address followed by your shipping address.

Once all details are entered please enter your card details and confirming if your billing address is the same as you shipping address before reviewing and confirming your booking. Once your purchase is complete you will be sent a confirmation email and we will be in touch to provide any additional information that may be required for your booking followed by documents/tickets being sent out to your chosen address, normally two – three weeks prior to the event date.

Please note that all packages listed for sale on our website can only be purchased in quantities of 2 or more. Some events may also require a specific minimum number of guests, which will be detailed on the event page. Please contact us if you are not sure of the minimum booking numbers for an event.

Please also note that we reserve the right to supply alternative arrangements of the same value and similar content or more if for any reason we are unable to provide what you have booked online with us.

Card Payment Online…

We accept payment by all major credit and debit cards when paying for an event through our website. Our online payments are managed by Stripe. We believe this to be the most secure way for you to shop online.

Your Invoice for Online Bookings…

Once we have received confirmation of your booking made online, we will arrange to send you our VAT Invoice. When received please check the details to ensure everything is correct with the booking. Any queries please email or call us straight away as it may be difficult to make any changes at a later stage.

Please note that there is a £7.00 delivery charge fee added per transaction when booking online.

B. Booking by Phone or Email Process…

- Call or email us with your enquiry
- Sign our electronic confirmation of booking form
- Receive our invoice
- Pay

In the first instance please contact us by emailing Euro Events or by phoning us on +44 033 3456 7890 and let us know which events and number of guests attending you are interested in. One of the team at Euro Events will be able to confirm availability and prices verbally and follow it up with an email confirmation to you if required.

If you wish to proceed, you simply need to send us an email to confirm the booking and we will by return, arrange for a 'Euro Events Electronic Confirmation Booking Form' to be sent to you along with our Terms and Conditions of Business. 

Once you have checked your order as laid out on this form, and all is correct, simply ‘e’ sign and date as instructed and then this will automatically be sent back to us. This will act as confirmation that you wish to purchase the event/s in question at the price indicated and that you have read and understood our terms and conditions on behalf of your party. This then becomes legally binding under UK and European Union Laws as established by The Electronic Communications Act 2000. This confirms the legal status of electronic signatures and grants them the same legality as pen and paper documents.

Card Payment over the Phone…

We accept payment by all major credit and debit cards when paying for an event over the phone. These payments are managed by Global Payments. Global Payment is a card processing system which authorises transactions at the time of purchase. Backed by major banks, it provides a secure gateway for credit and debit card shopping.

Please note there is a 3% transaction fee for company credit card payments made over the phone. This is to cover the cost incurred by processing the transaction through our card payment provider.


Your Invoice for Phone & Email Bookings...

When we have received your signed electronic confirmation booking form, we will then raise a VAT invoice which will be emailed to you. Please note that we cannot process your booking until we receive this signed booking form. 

Full payment for all events is due at least 10 weeks in advance of the date of the event, or 12 weeks prior to departure in the case of an overseas event. If the event date is within 10 weeks, or 12 weeks for an overseas event, then the whole amount becomes due upon receipt of our invoice. Invoices will be emailed to you.

However, please note that in certain circumstances such as World Cups, Olympics and one-off special events full payments may be required at the time of booking.

Full payment is to be made by bank transfer direct to our bank, details of which are provided on our invoice. However, if the event takes place within 7 days of the booking, then payment can also be made by debit or credit card.

Euro Events reserves the right to add a service charge of 3% on all payments made by company credit cards. No service charge is made on personal debit or credit card payments. If you are paying by card please kind notify us which type of card you are using.

Please note that for new clients paying by credit or debit card, we will require sight of the actual card or a copy of both sides of the card scanned and sent to us by email at the time of booking. Without sight of the actual card details we will be unable to process the booking payment in this way, but will still accept a same day bank transfer.

C. Other Payment Options…

Payment via Bank Transfer…

We also accept payment via bank transfer; this is the most common method of payment of most of our clients who have booked via email and have received an invoice from us. Our bank information, as detailed below, are on our invoice. Please note that BACs payments normally take 3-4 days to reach our account and CHAPs payments are usually the same day.

Pay by Your Mobile…

For your convenience, you can now pay Euro Events invoices by requesting to pay on your mobile phone. Once you have received our invoice for your booking simply scan the QR code on the invoice, in the top right hand corner, with the Zapper app downloaded to your Android or Windows Phone or iPhone. Once downloaded you simply enter the invoice & your credit/debit card details. Please note that the maximum payment via Zapper is £2,000.00 per transaction and this is also the daily limit for the same card.

Sending Out of Documents & Event Tickets...

Please note that event documentation/event tickets will not be sent out unless full payment has been received by the due date as outlined on our invoice.

All documents/event tickets are normally sent out between two - three weeks prior to the event date by Royal Mail Special Delivery or an agreed alternative method. However, we are very much in the hands of the event organisers/promoters when any documents/event tickets are actually sent to us so lead times may on occasions be much shorter. 

Please also note that event tickets, provided as part of an Official VIP hospitality package, are sometimes given out to the hosts at the event, on the day, for security reasons. This is because in the past a number of guests have either lost or left their event documentation/ event tickets at home or at their office and it may be impossible to arrange duplicate items at short notice. 

Once booked, all events are non-transferable and non-refundable unless agreed with ourselves.
